In this role, you will support the Executive Director on  EA duties and the Regional team in terms of project delivery, office management and sales support. You will be part of an international team and work closely with overseas offices which includes Singapore, India, Malaysia, Vietnam, Philippines and Mexico.

You would understand the priorities of the business and identify and suggest improvements to the leadership to drive growth in the Hong Kong market. You should be willing to communicate effectively with colleagues in different geographical locations while maintaining a strict sense of confidentiality towards sensitive Executive Managements’ decisions and agenda. You should be able to manage the calendar of the Executive Director across different time zones and assist in administrative tasks and project delivery.

You will report to the Executive Director of Operations, who is based in Hong Kong.

Location: Sheung Wan, Hong Kong

Your Impact:

1. Executive Team support – 50%

  • Assist the Executive Director with daily schedule and duties, including calendar management
  • Coordinate internal and external meetings, including meeting agenda preparation
  • Provide support for mailings/ Basic banking coordination
  • Track business expenses and prepare expense reports as needed
  • Arranging domestic and international travel bookings (including flights, hotel, restaurant and car arrangement)

2. Project Delivery – 30%

  • Document preparation to handover to clients
  • Course Material Preparation for Corporate training and Language Course projects
  • Drive Client feedback and  Customer service orientation

3. Office management and Basic Sales Support – 20%

  • Inside sales- Answering to small inbound enquiries- Preparing quotations
  • Manage office accounts: Cheque book, HSBC (Internal/External Payables/Receivables), Petty Cash
  • Liaising with vendors about payment status

Your Potential Profile:

  • A diploma in Business/Operations or any similar field
  • 4-5 years of experience in Executive Assistance
  • Strong communication skills (English and Cantonese) and analytical thinking
  • The ability to flourish with minimal guidance, be proactive, and handle uncertainty
  • Attention to detail
  • Excellent time management and organization
  • Independent decision making and a strong sense of confidentiality
